As the accounts administrator, you will be responsible for the day-to-day management of the purchase ledger accounts, including setting up new supplier accounts, reconciling statements and invoices, and processing payments.
You will liaise directly with suppliers and, on occasion, sub-contractors. You will therefore possess good verbal and written communication skills and be capable of establishing strong working relationships.
Key Responsibilities
Purchase Ledger:
- Ensuring invoices are logged, processed, paid and allocated
- Matching delivery notes with supplier invoices
- Matching invoices to purchase orders
- Inputting and filing invoices
- Receiving and checking supplier statements
- Raising queries with suppliers
- Setting up new supplier and sub-contractor accounts
- Verifying subcontractor records
- Inputting sub-contractor applications onto the accounts package and raising payments
- Checking price agreements are up to date
- Creating sales invoices, processing onto accounts package and entering sales receipts
- Reconciling the company credit card
Other Duties:
- Administering Pre-Qualification Questionnaires (PQQ) for trusted suppliers and subcontractors
- Managing key documentation, e.g. insurance certificates and policies
- Reception duties when required, including greeting visitors and answering the telephone promptly and professionally
- Arranging MOTs and servicing of company vehicles
- Other duties as required
Skills & Attributes:
- Ability to work well as part of a team, with initiative and enthusiasm
- Strong verbal and written communication skills
- Ability to multitask and manage workload flexibly
- Good IT skills, including accurate data input and working knowledge of Microsoft Word, Excel, Outlook and BACS payments
- Working knowledge of CIA accounts package or similar (desirable)
- Understanding of HMRC tax system and the Construction Industry Scheme (CIS)
- Strong organisational and time management skills
- High level of accuracy, with the ability to work under pressure and remain flexible
Qualifications & Experience:
- Minimum of GCSEs (or equivalent) in Mathematics and English
- Ideally AAT qualified or with at least 3 years' experience in a similar role
Remuneration:
This is a permanent, part-time, office-based position.
Hours: 18 hours per week over 3 working days
Wage: £13 – £15 per hour
